How to choose AI tools for your small business
Most owners do not need 50 AI apps. They need 2 to 4 tools that take one annoying job off their plate, at a price that makes sense. Here is a simple way to pick them, plus our picks and monthly costs for 16 common tasks.
6 steps to pick the right tools
- Pick the one task that eats your week. Think about last week. Which job did you repeat the most, or put off the longest? Lead follow up, invoices, scheduling and support emails are the usual answers. Start with just one.
- Check what you already pay for. Your email, calendar, accounting or CRM may already have AI built in. Turn that on first. It costs nothing extra and your data is already there.
- Choose one AI assistant. Claude, Google Gemini, Grok Bot and ChatGPT can all draft, sort and summarize. Pick the one that fits the apps you use most. You only need one to start.
- Add only the tools that connect the steps. If the work moves between apps, an automation tool like Zapier or Make passes it along. If a single app does the whole job, skip this step.
- Test on free plans and set a budget. Most tools on our list have a free plan or a trial. Run the stack for two weeks before you pay, and write down your monthly limit before you start.
